AI CEO 365 (“AI CEO 365,” “we,” “us”) provides a business software platform and mobile app for contractors, home service companies, and real estate professionals. This policy explains what information we collect through our website at aiceo365.com, our web platform, and the AI CEO 365 mobile apps (together, the “Services”), how we use it, and the choices you have.
Information we collect
Information you give us
- Account details such as your name, email address, phone number, business name, and password.
- Business data you store in the Services, including contacts, leads, messages, call logs and recordings, appointments, notes, files, estimates, and invoices.
- Billing information. Payments are handled by our payment processor; we do not store full card numbers.
- Messages you send to our support team.
Information collected automatically
- Device information such as device model, operating system, app version, and a push notification token.
- Usage and diagnostic data such as features used, crash reports, and performance logs.
- Website data collected through cookies and similar technologies.
Device permissions
The app asks before using your camera, photo library, microphone, contacts, or notifications. These permissions are used only for the feature you choose, such as attaching a photo, placing a call, or receiving alerts. You can change them at any time in your device settings.
How we use information
- Provide, operate, and maintain the Services, including messaging, calling, scheduling, and payments.
- Power AI features you turn on, such as automated replies, call answering, and summaries.
- Send service notifications, security alerts, and support responses.
- Improve the Services, fix problems, and protect against fraud and abuse.
- Comply with legal obligations.
AI features
When you use AI features, the relevant content, such as a message or call transcript, is processed by our technology providers to generate a response or summary. We share only what is needed to deliver the feature, and providers are bound by contractual confidentiality and data protection terms. AI output may be inaccurate, so review it before relying on it.
How we share information
We do not sell your personal information. We share it only:
- With service providers who help us run the Services, such as hosting and platform infrastructure, telecommunications carriers, email delivery, payment processing, and AI providers.
- When required by law, or to protect the rights, safety, and property of our users, the public, or AI CEO 365.
- In connection with a merger, acquisition, or sale of assets, subject to this policy.
- With your consent or at your direction.
Text messaging
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. Reply STOP to any message to opt out, or HELP for help. Message and data rates may apply.
Data our customers control
Businesses that use AI CEO 365 store information about their own customers and leads. For that data, the business is responsible for its collection and use, and we process it on their behalf. If you are a customer of a business that uses AI CEO 365, please contact that business directly with privacy requests.
How long we keep information
We keep account and business data for as long as your account is active. After an account is closed or deletion is requested, we delete or anonymize it within 30 days, except where we must keep certain records, such as billing and tax records, to meet legal obligations.
Security
We use encryption in transit, access controls, and industry-standard safeguards to protect your information. No system is completely secure, so please use a strong password and keep your login private.
Your choices and rights
You can access, correct, export, or delete your information by contacting us. Depending on where you live, including California, you may have additional rights, such as knowing what we collect and opting out of certain processing. Children
The Services are designed for businesses and are not directed to children under 13. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date above and, for significant changes, notify you in the Services or by email.
